Wedding transport for the couple and guests

Most weddings need two kinds of transport: a car for the couple and the bridal party, and a bigger vehicle to move guests between the ceremony, the reception and the hotels.

The car for the couple

A wedding car hired with a driver is a small public service vehicle: an NTA-licensed limousine or hackney, pre-booked with the fare agreed in advance. These carry up to 8 passengers. An executive saloon suits the couple; an executive van can take the bridal party together. Belts must be worn wherever they are fitted, dress or no dress, so allow an extra minute at each stop for getting in and out.

What the rules require

  • Limousines and hackneys are NTA-licensed private hire vehicles: pre-booked, fare agreed in advance
  • Seat belts must be worn by drivers and passengers wherever they are fitted

Moving the guests

Once the guest group passes 8, the rules change: larger groups need a bus or coach run under an operator licence. A midi coach, typically 29 to 35 seats, is a common choice for a country-house reception, where the avenue is narrow and a 12 to 14 m coach struggles. Send the ceremony address, the reception venue and any photo location, with the time you expect to leave each one.

Room for photographs

The gap that slips most is between the church and the reception. Photographs outside, a stop on the way and guests lingering at the door all take time. Book the guest shuttle for when people actually leave, and ask whether the vehicle can wait rather than go away and return.

Late finishes and the morning after

A driver who brings guests back to the hotel after midnight is then bound by rest rules. Daily rest is at least 11 hours, which can be cut to 9 hours up to three times between weekly rests. A return at 01:00 therefore shapes the next morning. If guests need a run to the station or the airport the day after, mention it at booking so the operator can plan a second driver.

Questions

How many people can travel in a wedding car?

An executive car takes up to three and an executive van up to seven; as licensed limousines or hackneys, neither may carry more than 8 passengers. For more, the transport has to be a bus or coach under an operator licence.

Can one coach do the church run and the late return?

Often, if the driver's hours and breaks fit the day. Give the operator the full timetable when you ask for a quote.

What should we send to get a quote?

The date, every address, guest numbers for each leg and the times you want to arrive and leave. Say if any guest uses a wheelchair.
